Personal Assistant to CEO & Director

Job description

We are looking for an experienced personal assistant to provide personalised secretarial and administrative support in a well-organised and timely manner. You will work on a one-to-one basis on a variety of tasks related to the CEO and Agency Services Director's working lives and communication.

This role is for Johannesburg-based applicants only and requires at least three days a week in the office.

Required Attributes

  • Do you have experience managing schedules, coordinating meetings, and handling correspondence for executives?
  • Can you prioritise tasks and manage competing deadlines when supporting multiple people?
  • Can you ensure effective communication among executives, team members, and other stakeholders?
  • Do you have experience ensuring accurate and cost-effective travel arrangements, and how do you manage expenses?
  • Can you maintain discretion when handling sensitive information or managing personal tasks?
  • Do you have experience with project management, and have you used it to support executives?
  • Can you remain professional and positive during challenging or stressful situations, such as last-minute changes or competing priorities?
  • Are you tech-savvy with a strong knowledge of Microsoft Office, Google Docs/Slides/Sheets, and the ability to learn new software if required?


Responsibilities & duties

  • Schedules meetings and various events while managing a company calendar.
  • Administrative management, including office management, monthly bills, problem-solving, etc.
  • Implementing and maintaining procedures and administrative systems.
  • Managing digital filing systems.
  • Collaborate on tasks with team members. Assist with team projects and events as needed.
  • Booking and arranging travel, transport, and accommodation.
  • Coordinate events and speaking engagements.
  • Answering phone calls and emails and taking messages for managers and executives.
  • Runs various types of errands when asked.
  • Ensuring the manager or executive stays on task and manages their time effectively.
  • Take accurate and comprehensive notes at meetings.
  • Draft email correspondence.

Education and experience

  • Minimum: High school diploma
  • Ideally, a diploma or degree
  • Experience as Personal or Executive Assistant (Minimum 5 years)


Preferred experience

  • PA experience in the public relations, agency or consulting industries
  • PA experience to an MD or CEO in a large company
